Admission Check-In: Set Up a Self Check-In Kiosk

Learn how to set up a device so guests can scan their own QR code or enter their code to check themselves in.

A Self Check-In device lets guests check themselves in, without staff searching for them. Guests scan their QR code, or type their confirmation code or ticket number. Staff search is not available, and guests only see a friendly, generic message when something goes wrong. This keeps other guests' information private.

Step 1: Create a Self Check-In Profile

  1. Go to Event Manager App > Event Setup section > Admission Check-In tab and click Add Profile.

  2. On the General tab, name the profile (for example, Lobby Kiosk), set a Device PIN, and set Mode to Self Check-In.

  3. On the Check-in Modes tab, turn on Enable QR scanning, Enable manual code entry, or both. Set After scan to Automatically scan another QR code so the kiosk is ready for the next guest.

  4. On the Admission Targets tab, choose the Registrant Types and Ticket offerings guests may check in with.

  5. On the Display / Messages tab, enter your Instructions, Failure Help, and Success Message. See below.

  6. Turn on Enabled and click Save.

For details on every setting, see Admission Check-In: Create a Device Profile.

Step 2: Write the Guest Messages

  • Instructions: Appears on the welcome screen under Welcome. Keep it short. For example: "Hold the QR code from your confirmation email up to the camera."

  • Success Message: Appears after a successful check-in. For example: "Welcome, {{FirstName}}! Your badge is at the front desk."

  • Failure Help: Appears for any problem, including a code that is not recognized, already used, or not valid for the kiosk. If blank, it says "Please see event staff." You might write "Please see the registration desk for help."

Step 3: Connect and Launch the Kiosk

  1. Connect the device by following Admission Check-In: Configure a Device.

  2. On Device Settings, choose the camera and tap Launch Admission Check-In, then enter the PIN.

  3. The kiosk shows the welcome screen with Scan QR Code and/or Enter Confirmation Code or Ticket Number.

What Guests Do

  1. Tap Scan QR Code and hold up their registration or ticket QR code. Or tap Enter Confirmation Code or Ticket Number, type the code, and tap Check In.

  2. The kiosk shows Check-In Successful and your success message, then returns to the welcome screen.

  3. If check-in does not work, the kiosk shows Check-In Not Completed and your failure help message.

💡TIPS:

  • Place the kiosk where a staff member can see it. Guests who cannot check in will need help, and staff can use the check-in history to see what happened. See Admission Check-In: View Check-In History.

  • Use a stand or mount so guests can aim their phone at the camera and see the screen at the same time. Avoid direct sunlight on the screen.

  • Combine devices: use a Self Check-In kiosk for the main line and a Manual Check-In device staffed at a help desk for guests who need assistance.

  • Self Check-In does not look up guests by name, so guests need their code or QR code. Send a reminder email before the event telling guests to have their confirmation ready.

  • Keep the PIN private. Anyone who has it can open the kiosk settings.
