Admission Check-In: Check In Guests With Manual Check-In

Learn how event staff can scan QR codes, enter codes, or search for guests to check them in.

A Manual Check-In device is operated by event staff at the door. Staff can scan a guest's QR code, type their confirmation code or ticket number, or search for them by name, email, or phone.

This article explains how to use a device that is already connected. See Admission Check-In: Configure a Device if you have not connected it yet.

Start Checking Guests In

  1. On the device, open Device Settings and tap Launch Admission Check-In. If the device is already running check-in, skip this step.

  2. Enter the four-digit PIN.

  3. The device opens the profile's default screen: Scan QR Code, Enter Confirmation Code or Ticket Number, or Staff Search. Use the footer to switch between methods.

Scan a QR Code

  1. Tap Scan QR and hold the guest's QR code up to the camera. The QR code can be from their registration confirmation or their ticket.

  2. The result appears on screen. A green Check-In Successful screen shows your success message.

  3. The device returns to the scanner when the result timer ends, if the profile is set to scan another code automatically. Otherwise, it returns to the home screen. You can also tap the button on the result screen, labeled Start Over after a success or Try Again after a problem, to continue right away.

If no code is scanned before the scan timeout, the device returns to the home screen with a Scanner timed out message. Tap Scan QR to try again.

Enter a Code

  1. Tap Enter Code.

  2. Type the guest's registration confirmation code or ticket number, exactly as written. Codes are case-sensitive.

  3. Tap Check In or press Enter.

You can also paste or type the full link from a ClearEvent registration or ticket QR code.

Search for a Guest

Use Search when a guest does not have their QR code or code with them.

  1. Tap Search. The list shows every guest the device can admit, sorted by name.

  2. Type in the search box. Searching starts automatically after three characters, or you can tap Search to search right away. You can search by:

    • Name: Type part of a first or last name, or both in any order (for example, riv alex).

    • Email: Type the full email address.

    • Phone: Type the full phone number. Spaces and dashes do not matter.

    • Code: Type the full confirmation code or ticket number.

  3. Find the right person using the name, code, and Registrant Type or Ticket shown, then tap Check In next to them.

The list does not show email addresses or phone numbers, so guests' details stay private. Search shows up to 1,000 guests at a time.

Checked-In Guests and Undo

  • Guests who are already checked in are hidden by default. Turn on Include checked-in guests to show them with the time they were checked in.

  • If you checked in the wrong person, show checked-in guests and tap Undo next to them, then confirm Undo Check-In. They can then be checked in again.

  • If a guest cannot be checked in, Check In is disabled and the reason is shown, such as Registration is not approved or Not valid for entry today.

What the Results Mean

See Admission Check-In: Understand Check-In Results and Troubleshoot for what each message means and how to resolve it.

💡TIPS:

  • At a busy entrance, run two or three devices with the same profile. One person scans while another uses Search for guests without a code, so the line keeps moving.

  • Ask guests to have their registration confirmation or ticket email open on their phone before they reach the front of the line. Turn the screen brightness up so the QR code scans quickly.

  • A guest can only be checked in once. If the same guest is scanned again, the device shows Already Checked In. If the guest's registration or ticket allows multi-day check-in, they can be checked in once per day.

  • Check-in marks the guest as checked in everywhere in ClearEvent, including any check-in webhooks you have set up.
