Admission Check-In: Configure a Device

Learn how to connect a phone, tablet, or kiosk to an Admission Check-In Device Profile and launch check-in.

Once you have created a Device Profile, connect each phone, tablet, or kiosk to it. A device only needs a web browser and an internet connection. Staff do not need a ClearEvent account to use it.

Before You Start

Step 1: Get the Configuration QR Code and Link (Event Manager App)

  1. Go to Event Manager App > Event Setup section > Admission Check-In tab.

  2. Select the profile, then click the Show QR Code / Configure (QR code) button.

  3. The Configure an Admission Check-In Device dialog opens.

  4. If you see a warning that the profile is disabled, turn on Enable this profile and click Save. A device can be connected to a disabled profile, but it cannot launch check-in until the profile is enabled.

You can then choose how to connect:

  • Configure a different device: Use the QR code, the configuration link, or the API key.

    • QR code: Open Admission Check-In on the other device, tap Scan Device Profile QR Code, and point its camera at the QR code on your screen.

    • Configuration link: Click Copy, or use the share button to send the link by text or email. Opening the link on the device connects it automatically.

    • API Key: If scanning and links are not an option, copy the API Key and type it into the device.

    • Print: Click the print button to print the configuration so you can set up devices on-site without logging in.

  • Configure this device: Click Open Admission Check-In to set up the browser you are using right now.

📝NOTES:

  • The link and API key give access to this profile only. Send them to people you trust and do not post them publicly.

  • If a device is lost, or a key is shared by mistake, click Regenerate Key. This immediately disconnects every device using the old key. Those devices show a message that the configuration is no longer valid and return to the setup screen, so you will need to connect them again with the new QR code, link, or key.

Step 2: Connect the Device

If you used the configuration link, or Open Admission Check-In, the device connects on its own. Otherwise:

  1. On the device, open a web browser and go to https://app.clearevent.com/admission.

  2. Tap Scan Device Profile QR Code and scan the QR code, or tap Enter API Key Manually, type the key, and tap Save.

  3. If your browser asks for camera access, allow it. If you blocked it by mistake, allow camera access in the browser's site settings, then tap Retry Camera Access.

Step 3: Review Device Settings and Launch

After connecting, the device opens its Device Settings screen. You do not need the PIN for this first visit.

  1. Check which Registrant Types and Ticket offerings the device will admit under Check-in attendees to. If the profile lets staff choose a target, pick it from the list.

  2. Under Camera to use for scanning, choose the camera. Turn on Mirror preview for front-facing camera if the device uses its front camera.

  3. Tap Launch Admission Check-In and enter the four-digit PIN. The device opens its default check-in screen.

Camera and mirror choices are saved in that browser only. They are not shared with other devices using the same profile.

When Check-In Is Not Open

  • Before the check-in window opens: The button reads Continue to Countdown. The device shows a countdown and the exact opening time, and starts check-in automatically when it reaches zero.

  • After the window closes: The device shows Check-In is closed with the closing time.

  • Profile disabled, expired, or without targets: The device explains what the event organizer needs to fix in Event Setup. Once fixed, the device works again without being reconfigured.

  • Profile deleted or key regenerated: The device returns to the setup screen.

Using the Device Day-To-Day

  • The footer has Home, Scan QR, Enter Code, Search (staff devices only), and Settings, showing only the methods your profile enables.

  • Tap Settings and enter the PIN to reopen Device Settings.

  • If the browser is closed or the device restarts, it stays connected and goes back to check-in without asking for the PIN again.

  • Reset Device in Device Settings disconnects the device from its profile so you can connect it to another one.

TIPS:

  • Set up and test every device before event day. Scan a real test registration QR code and a test ticket QR code.

  • Keep the PIN with event staff only, especially on Self Check-In kiosks that guests can touch.

  • Keep devices charged and connected to reliable Wi-Fi. Admission Check-In needs an internet connection and does not work offline.
