We use "Google reCAPTCHA" (hereinafter "reCAPTCHA") on our websites. This service is provided by Google Inc., 1600 Amphitheater Parkway, Mountain View, CA 94043, USA ("Google"). reCAPTCHA is used to check whether the data entered on our website (such as on a contact form) has been entered by a human or by an automated program. To do this, reCAPTCHA analyzes the behavior of the website visitor based on various characteristics. This analysis starts automatically as soon as the website visitor enters the website. For the analysis, reCAPTCHA evaluates various information (e.g. IP address, how long the visitor has been on the website, or mouse movements made by the user). The data collected during the analysis will be forwarded to Google. The reCAPTCHA analyses take place completely in the background. ClearEvent Badge Maker
ClearEvent Badge Maker is a free, browser-based tool for designing event badges, merging attendee data from a CSV, previewing personalized output, and exporting print-ready PDFs. You can use Badge Maker without creating a ClearEvent account.
Local processing (core tool)
For the core Badge Maker workflow, the following remain on your device and are not uploaded to ClearEvent servers for design, merge, preview, or PDF export:
Badge template configurations and designs (layout, text, images, and styling)
Attendee or registrant CSV data and personalized badge content derived from that data
Exported PDF files (saved locally through your browser or operating system)
Badge files you save remain under your control through your browser's download or local file APIs.
What we collect for Badge Maker
When you use Badge Maker, we collect usage analytics to understand how the tool is used and to improve it. This includes two categories of information:
Standard online identifiers. Like most web applications, our analytics provider may collect Personal Information such as IP address, browser and device characteristics, session identifiers, page URLs, and referral information.
Badge Maker usage event properties. We configure analytics to send event properties that describe how features are used, not what you designed or imported. Examples include:
Feature events (for example: app loaded, template selected, CSV imported, preview toggled, print modal opened, PDF generated or downloaded, badge file opened or saved, element added, feedback opened)
Bucketed attendee counts (ranges such as 2–10 or 51–100, not exact lists or row contents)
Number of CSV column headers (not header names or values)
Badge layout metadata (for example: badge dimensions, element counts by type, schema version, whether a back side is used)
Error categories (for example: type errors), not user-entered text
We do not collect through Badge Maker analytics: badge text or content, attendee names or other CSV field values, CSV rows, uploaded images, badge file names, or exported PDF contents.
Badge Maker uses session replay through our analytics provider (PostHog) with input and on-screen text masking configured so that badge and attendee content is not intended to be captured in recordings. Session replay helps us support our customers and diagnose usability issues and improve the editor. Replay may still capture interactions such as clicks, navigation, and masked UI structure.
Optional watermark removal signup
If you choose to remove the "Badges by ClearEvent" watermark, you may voluntarily join our mailing list by providing your first name, last name, email address, and optionally your event name and organization name. This requires your explicit consent. See Email marketing below and Service Providers (Zapier) for how that information is processed.
Browser storage
Badge Maker stores certain preferences locally in your browser (for example: panel layout, marketing attribution, watermark unlock status, and whether you dismissed the CSV privacy notice). This storage is used to improve your experience and is not a substitute for uploading badge or attendee data to ClearEvent.
Managing information
You are able to delete certain Personal Information we have about you. The Personal Information you can delete may change as the Website and Services change. When you delete Personal Information, however, we may anonymize the Personal Information, or maintain a copy of the unrevised Personal Information in our records for the duration necessary to comply with our obligations to our affiliates and partners, and for the purposes described below. If you would like to delete your Personal Information or permanently delete your account, you can do so on the settings page of your account on the Website or simply by contacting us.
Badge Maker does not require a ClearEvent account; if you subscribed to our mailing list through watermark removal, you may unsubscribe using the link in our emails or contact us to request deletion of your signup information.
Disclosure of information
Depending on the requested Services or as necessary to complete any transaction or provide any service you have requested, we may share your information with your consent with our trusted third parties that work with us, any other affiliates and subsidiaries we rely upon to assist in the operation of the Website and Services available to you. We do not share Personal Information with unaffiliated third parties. These service providers are not authorized to use or disclose your information except as necessary to perform services on our behalf or comply with legal requirements. We may share your Personal Information for these purposes only with third parties whose privacy policies are consistent with ours or who agree to abide by our policies with respect to Personal Information. These third parties are given Personal Information they need only in order to perform their designated functions, and we do not authorize them to use or disclose Personal Information for their own marketing or other purposes.
We will disclose any Personal Information we collect, use or receive if required or permitted by law, such as to comply with a subpoena, or similar legal process, and when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.
In the event we go through a business transition, such as a merger or acquisition by another company, or sale of all or a portion of its assets, your user account, and Personal Information will likely be among the assets transferred.
Retention of information
We will retain and use your Personal Information for the period necessary to comply with our legal obligations, resolve disputes, and enforce our agreements unless a longer retention period is required or permitted by law. We may use any aggregated data derived from or incorporating your Personal Information after you update or delete it, but not in a manner that would identify you personally. Once the retention period expires, Personal Information shall be deleted or anonymized. Therefore, the right to access, the right to erasure, the right to rectification, and the right to data portability cannot be enforced after the expiration of the retention period.
Transfer of information
Depending on your location, data transfers may involve transferring and storing your information in a country other than your own, including the United States where several of our Service Providers process data. You are entitled to learn about the legal basis of information transfers to a country outside the European Union or to any international organization governed by public international law or set up by two or more countries, such as the UN, and about the security measures taken by us to safeguard your information. If any such transfer takes place, you can find out more by checking the relevant sections of this Policy, including Privacy rights in Canada (PIPEDA) and Protecting information transmitted across borders, or inquire with us using the information provided in the contact section.

California privacy rights
In addition to the rights, as explained in this Policy, California residents who provide Personal Information (as defined in the statute) to obtain products or services for personal, family, or household use are entitled to request and obtain from us, once a calendar year, information about the Personal Information we shared, if any, with other businesses for marketing uses. Privacy of children
ClearEvent’s Services are intended for use by event organizers, businesses, and other organizations, and by individuals acting on their behalf. Our Services are not directed to children for independent sign-up or general consumer use.
Information collected directly by ClearEvent
ClearEvent does not knowingly solicit Personal Information directly from children under the age of 18 through the Website, Badge Maker, or our own account, support, or marketing forms. If you are under 18, please do not create a ClearEvent account, join our mailing list, or otherwise submit Personal Information to ClearEvent except as permitted below under event registration.
If you believe a child has provided Personal Information to ClearEvent directly in breach of this Policy, please contact us at security@clearevent.com and we will take appropriate steps, which may include deletion where applicable.
Information collected by event organizers using ClearEvent
Event organizers and their authorized users may use the ClearEvent platform to collect registration, ticketing, check-in, and related information about attendees, participants, students, or other individuals including, in some cases, children or minors. The event organizer, not ClearEvent, decides what information to collect, how registration forms and workflows are configured, and whether collection of information about children is appropriate for their event.
ClearEvent does not control, review, or approve the fields or content of an organizer’s forms, and does not determine what Personal Information is “safe” or appropriate for a particular event or audience. Each event organizer is solely responsible for:
determining whether and what Personal Information to collect about children or minors;
providing any required notices to participants and parents or legal guardians;
obtaining any required consents or authorizations under applicable law (including school, program, or parental consent requirements);
complying with applicable privacy, education, and child-protection laws; and
responding to access, correction, deletion, and other requests relating to information the organizer collects through its event.
Where ClearEvent processes Personal Information about children or minors on an organizer’s behalf, we do so only as a service provider to that organizer, in accordance with our agreement with the organizer and this Policy, and not for ClearEvent’s own independent purposes.
If you are a parent or guardian and believe an event organizer has collected your child’s information through ClearEvent, please contact the event organizer first. You may also contact ClearEvent at security@clearevent.com if you need assistance identifying the organizer or where we are permitted to help under our role as service provider.
ClearEvent Badge Maker
Badge Maker allows organizers to load attendee lists (including CSV files) on their own device to design and print badges. ClearEvent does not upload those lists for core Badge Maker design, merge, preview, or export. If an attendee list includes information about children or minors, the organizer is responsible for ensuring they have a lawful basis to use that information and to produce badges containing it.
Age of consent
Where required by applicable law, you must meet the minimum age to consent to the processing of your Personal Information in your jurisdiction (for example, 16 in some countries). Where you do not meet that age, consent may need to be provided by a parent or legal guardian, or obtained by the event organizer where the organizer collects the information.
Cookies
The Website and Services use "cookies" and similar technologies to help personalize your online experience and operate analytics. A cookie is a text file that is placed on your hard disk by a web page server. Cookies cannot be used to run programs or deliver viruses to your computer. Cookies are uniquely assigned to you, and can only be read by a web server in the domain that issued the cookie to you.
We may use cookies and local storage to collect, store, and track information for statistical and operational purposes. On Badge Maker, PostHog may use cookies or similar browser storage for analytics and session management. Badge Maker also uses browser local storage for preferences that do not upload badge or attendee content to ClearEvent.
You have the ability to accept or decline cookies. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer. If you choose to decline cookies, you may not be able to use and experience all features of the Website and Services. To learn more about cookies and how to manage them, visit internetcookies.org
Do Not Track signals
Some browsers incorporate a Do Not Track feature that signals to websites you visit that you do not want to have your online activity tracked. Tracking is not the same as using or collecting information in connection with a website. For these purposes, tracking refers to collecting personally identifiable information from consumers who use or visit a website or online service as they move across different websites over time. How browsers communicate the Do Not Track signal is not yet uniform. As a result, the Website and Services are not yet set up to interpret or respond to Do Not Track signals communicated by your browser. Even so, as described in more detail throughout this Policy, we limit our use and collection of your personal information.
Advertisements
We may permit certain third-party companies to help us tailor advertising that our company thinks may be of interest to users and to collect and use other data about user activities on our Website. These companies may deliver ads that might place cookies and otherwise track user behavior.
Email marketing
We offer electronic newsletters and marketing emails to which you may voluntarily subscribe at any time, including when you choose to remove the Badge Maker watermark and join our mailing list with your explicit consent. We are committed to keeping your e-mail address confidential and will not disclose your email address to any third parties except as allowed in the information use and processing section or for the purposes of utilizing a third-party provider to send such emails. We will maintain the information sent via e-mail in accordance with applicable laws and regulations, including Canada's Anti-Spam Legislation (CASL) where applicable.
In compliance with the CAN-SPAM Act, all e-mails sent from us will clearly state who the e-mail is from and provide clear information on how to contact the sender. You may choose to stop receiving our newsletter or marketing emails by following the unsubscribe instructions included in these emails or by contacting us. However, you will continue to receive essential transactional emails.
Links to other sites
The Website and Services contain links to other resources that are not owned or controlled by us. Please be aware that we are not responsible for the privacy practices of such other resources or third parties. We encourage you to be aware when you leave the Website and Services and to read the privacy statements of each and every resource that may collect Personal Information.
Outside contractors
We may employ independent contractors, vendors, and suppliers (collectively, "Outside Contractors") to provide specific services and products related to the ClearEvent Services, such as hosting, credit card processing, and fraud screening, and mailing list hosting for ClearEvent's Services. In the course of providing products or services to us, these Outside Contractors may have access to information collected through ClearEvent Services, including your personally identifiable information. We require that these contractors agree to (1) protect the privacy of your personally identifiable information consistent with this Privacy Policy, and (2) not use or disclose your personally identifiable information for any purpose other than providing us with the products or services for which we contracted or as required by law.
Linking to other websites
The ClearEvent Application may provide you with access to other websites and services. Please be aware that we are not responsible for the privacy practices of any websites or services other than the ClearEvent Application. We encourage you to read the privacy policies or statements of each and every such website and service. This Privacy Policy applies solely to information collected by us through the ClearEvent Application.
Protecting information transmitted across borders
ClearEvent may transmit Personal Information outside of your jurisdiction of residence, including to the United States where PostHog, Zapier, Google, Adobe, Vercel, and other Service Providers may process data on our behalf. ClearEvent remains responsible for Personal Information that is transferred to a third party abroad for processing or to support our efforts. Any Personal Information transferred to a third party for data processing is subject, by law, to a comparable level of protection as that provided by ClearEvent. A "comparable level of protection" means a level of protection generally equivalent to that provided by ClearEvent.
Information security
At ClearEvent, we understand that the security and privacy of your Personal Information are of paramount importance. We take extensive measures to secure the information you provide on our computer servers in a controlled, secure environment that is protected from unauthorized access, use, or disclosure.
To achieve this, we maintain reasonable administrative, technical, and physical safeguards to protect against unauthorized access, use, modification, and disclosure of Personal Information in our control and custody. Our database is hosted by Microsoft Azure, a highly secure and reliable cloud-based service that is designed to comply with various international security standards and regulations, including GDPR and CCPA.
In addition, we have implemented additional security solutions to continuously monitor the configuration of our Database Servers to identify potential security vulnerabilities and recommend actions to mitigate them. This includes automatically performing threat and Database vulnerability assessments using advanced analytics and global threat intelligence to alert us to malicious activity. These automatic vulnerability assessments cover database-level issues and server-level security issues, like server firewall settings and server-level permissions. This enables us to proactively detect and address security issues before they become a problem.
However, we acknowledge that no data transmission over the Internet or wireless network can be guaranteed to be completely secure. Therefore, while we strive to protect your Personal Information to the best of our abilities, you acknowledge that (i) there are security and privacy limitations of the Internet that are beyond our control; (ii) the security, integrity, and privacy of any and all information and data exchanged between you and the Website and Services cannot be guaranteed; and (iii) any such information and data may be viewed or tampered with in transit by a third party, despite our best efforts.
Data breach
In the event that we become aware that the security of the Website and Services has been compromised or users' Personal Information has been disclosed to unrelated third parties as a result of external activity, including, but not limited to, security attacks or fraud, we reserve the right to take reasonably appropriate measures, including, but not limited to, investigation and reporting, as well as notification to and cooperation with law enforcement authorities. In the event of a data breach, we will make reasonable efforts to notify affected individuals if we believe that there is a reasonable risk of harm to the user as a result of the breach or if notice is otherwise required by law.
