Learn how to use registration forms to sell online sponsorship packages for your event.

Using ClearEvent's registration form builder, your event can quickly set up and sell sponsorship packages online.

By selling sponsorship packages online you can:

  1. Collect funds online, ahead of your event

  2. Sell multiple sponsorship packages with varying sponsor rights/benefits

  3. Collect details from each of your sponsors (e.g. sponsor name, logos, marketing copy, contact details, and much more)

  4. Keep your sponsors up to date using our Messaging features.

How to sell sponsorship packages

A simple way to sell sponsorship packages in ClearEvent is to create a new "Event Sponsor" registration form, and then add new Fees to model the various sponsor packages on offer from your event.

Step 1: Create your "Event Sponsor" registration form

  1. Go to the Event Manager App > Registration section > Forms tab.

  2. Click the +Add button to add a new registration form.

  3. Set the form's Name to be something like "Event Sponsor" and then set the Registration Type setting to be "Sponsor".

  4. Enter an overview of the various sponsorship opportunities into the Description field

  5. Set the Capacity field to limit the overall number of sponsorship packages that can be sold.

  6. To review and approve sponsor submissions prior, adjust the Approval Mode settings as needed.

Step 2: Add a Fee for each Sponsorship Package

You will most likely want to add separate fees to your sponsorship form for each type of sponsorship package you wish to offer.

To add sponsorship packages to your sponsor registration form:

  1. Edit your Event Sponsor registration form.

  2. Click on the Fees tab, and click Enable Registration Fees button. You may add separate registration fees to model each sponsor package that is on offer (e.g., "Gold Sponsor", "Silver Sponsor", "Bronze Sponsor", etc.). See below for some samples.

  3. Click the +Add button to open the "Add registration fee" popup window.

  4. Set Payment Mode to "Online" to allow accepting online credit card payments for your sponsor package fee.

  5. Set the Fee Type to "Standard".

  6. Set the Name field to the sponsor package's name (e.g., "Gold Sponsor").

  7. In the Description field, enter the benefits/rights that the sponsor package includes. See the sample sponsor packages below for examples.

  8. In the Regular Fee field, enter the price for this sponsor package in the event currency (e.g., "6,000.00").

  9. Click OK to add the new sponsorship package fee.

  10. Repeat the above steps to add additional sponsor package fees until all of your sponsor packages are set up.

  11. Click the Save button.

  12. Click the Preview button to see a live preview of your registration form.

Step 3: Allow add-ons to your base sponsor packages

You can allow sponsors to customize their selected base sponsorship package fee when they checkout. Using the Products feature, you can create add-ons that sponsors can optionally choose to add to their selected sponsorship package.

For example:

To add products to your sponsorship registration form:

  1. Edit your sponsor registration form.

  2. Click the Products tab.

  3. Optionally, customize the checkout step name, title, and checkout instructions.

  4. Click the +Add button to add new products (e.g. "Bag Inserts", "Banners", etc.) that you would like the sponsor to be able to add-on to their sponsorship registration. Your event is responsible for fulfilling these products on-site. ClearEvent simply allows you to collect fees for these products up-front at the time of registration.

Step 4: Add fields to collect sponsor details

It can be helpful to collect details from your sponsors at the time of registration. For example, you may which to collect the name of your sponsor, a sponsor logo to use in marketing materials, sponsor contact details, or a description of the sponsor's products & services.

To collect details, you can add fields to your registration form, like so:

  1. Edit your sponsor registration form.

  2. Click the Fields tab to customize the fields collected by your registration form.

  3. To select which built-in registrant detail fields to collect, click on the Registrant Details section on the form designer. This will allow you to change which built-in fields will be collected.

  4. Click on the Registrant Details section of the form Designer preview area to customize which built-in fields will be collected.

  5. To add custom fields to collect sponsor details, click the +Fields tab and choose which fields you would like to add to your registration form. Adding fields can help you collect sponsor details like the sponsor name, company logo, website, product & services, and other helpful details.

  6. Click the Save button.

Step 5: Send an optional reminder to your sponsors

If you wish for the ClearEvent platform to send out a scheduled reminder message to your sponsors as the event start date nears, you can enter the reminder details in the "Reminders" tab. Reminder messages can also be disabled from this tab.

Step 6: Publish & promote your sponsor registration form

Once you are done building your registration form, be sure to publish it to start accepting live registrations.

  1. Edit your sponsor registration form.

  2. Click the Publish tab.

  3. Determine if your Sponsor form will be public or private. Private forms can only be accessed using the Share Link for the registration form. By default, new forms are public, meaning they will be visible under your Event Portal > Home > Register page when they are published. To hide a form, uncheck the Public checkbox and then communicate the Share Link with any sponsor you want to register.

  4. Click the Publish Form button to make your form live.

Promoting your sponsorship form

Lastly, the famous saying "if you build it, they will come" isn't necessarily true for your registration forms. You'll want to promote your new sponsor registration form to ensure potential sponsors are aware of your partnership opportunities.

As an event organizer or marketer, you already know it's key to offer different sponsorship packages to attract potential event sponsors. Potential sponsors all have different goals for getting involved, varying budgets, and special needs. Building the right sponsorship packages will help sponsors find their fit with your event.

  2. Logo placement on event merchandise, such as t-shirts, tote bags, and lanyards.

  3. Sponsor acknowledgement during event announcements, on the event website, and in social media posts.

  4. Opportunities for product placement, sampling, or demonstrations at the event.

  5. Exclusive sponsorship of a particular event segment, such as keynote speaker sessions, networking breaks, or entertainment acts.

  6. Customized on-site branding opportunities, such as branded lounges or interactive displays.

  7. Access to attendee data and insights, subject to privacy regulations (of course!).

  8. Special event access (e.g. VIP Programs, backstage passes, sponsor networking events, etc.)

What's next?

  • Use the Invites feature to send out invites to your sponsors and direct them to your new sponsor registration form.

  • As sponsorship registrations are received, you can review (and optionally approve) registrations using the Registration module.

  • Use the Messages feature to send out emails that target registered sponsors.
