Getting Started: Plan & Run Your Event In ClearEvent

If you're new to ClearEvent and want to get your event up an running quickly, follow these steps

We've come up with a simple list of recommended steps that you and your team can follow to set up and run a great event using ClearEvent:

Accessing ClearEvent

First things first! To administer your fancy new event, you'll have to sign in to the Event Manager application.

  1. Go to https://app.clearevent.com and sign in (TIP: Bookmark this link)

  2. Once signed in, from the My Events page, click the Manage button for the event you wish to manage.

  3. The Event Manager App will now load.

Set up your event details

Set up all your event details in the Event Setup section of the Event Manager application. Provided you have some basic event details handy, entering all the key details for your event should only take a few minutes.

Once you have all your information entered, open and preview your Event Portal.

Invite your event Admin team

You can invite team members to help you manage your event in ClearEvent. Individuals that you invite can use ClearEvent to manage their part of the event. This helps to keep all event information in one place and makes it easy to get the complete status of the event by reviewing the real-time Dashboard.

Create and Manage the event TODO list

Once your event has been set up in ClearEvent, it's time to get organized! Many events use the TODOs section to create run-sheets for their event. The TODOs you define here are visible to all other invited event managers that have access to the TODO section.

Add all your tasks to the TODO manager by importing or adding new items as needed. The todo list can be sorted and filtered to show todo items' by date, owner, status, and area.

Once a todo item is completed, it can be checked off. Event Admins can review some or all of the list and easily update todo item details to ensure everything gets done.

Create your event Budget

ClearEvent includes a full-featured event Budget that is fully customizable to suit your needs. Track budgeted and actual amounts for revenue and expenses. Registration and ticket payments are automatically updated in the budget. Budgets can be imported and exported as needed.

Send Event Invitations

If you have existing guest lists you would like to invite to your event, you can use the Event Manager App > Invites section to create and send invites to your guests.

Easily upload existing invitee details, or manually add invitees as needed. You can quickly customize the invite message, and can even include links to purchase tickets or register in the invite message.

Offer Tickets

Offering tickets is quick and simple way to get attendees for your event. With just a few fields to configure, you'll be able to sell paid or free tickets in no time.

Register guests

Registering guests is easy with ClearEvent. Use the built-in form builder to create custom registration forms to register any type of guest, including:

  • Attendees

  • Volunteers

  • Vendors

  • Booth Exhibitors

  • Speakers

  • Media

  • VIP's

  • Competitors

  • and many more

Build and publish your registration forms in the Event Manager App > Forms section. Once a form is published you can accept registrations and payments. Click here for more details on Forms.

In order to accept payments, connect a Stripe account. If you don't already have one, it's easy and quick to set one up in the Event Manager App > Payments section. More details here.

As guests register for your event, you can review and manage their registrations in the Event Manager App > Registration > Registrants tab section. More details here.

Registration payments received by your event will automatically update your event Budget as they occur. For more information click here.

At any time, you can view your event's Dashboard to see an up-to-date picture of event registrations. Click here for details.

Create Event Schedules

Events typically have multiple schedules that need to be shared with different groups of attendees. The Event Manager App > Schedules section allows you to create, edit and share schedules with event registrants and the public. Schedules that have been shared are visible on the Event Portal > Schedules page. Each registrant will only see public schedules or schedules shared specifically for them.

At any time, making schedule changes is a breeze. Simply edit the schedule, adjust any activity start/end times needed, and Save the schedule. Changes you make to the schedule will be automatically updated on your Event Portal. For details, click here

Set up Jobs & Tasks

Jobs and Tasks can be set up for registrants in the Jobs section. You can assign jobs and tasks only to approved registrants. Once a registrant is assigned to a Job, the details of the Job and Tasks will be available on the Event Portal > Jobs page for the registrant. This enables every participant with assigned jobs to see exactly what they will be doing at the event and where they are needed. As tasks are completed, the assigned registrant can check off any item, allowing event managers to check on the status of any outstanding tasks.

Communicate with attendees

Messages can be both emailed and posted on the Event Portal > Message page to help keep attendees informed about important event details.

Create, edit and post messages, select which participants to share your messages with. Send email reminders of your new post. Messages are always available on the Event Portal for your attendees. Each attendee only sees the messages that have been shared with them.

Import and Manage your Contact List

The Contact list in ClearEvent serves as a central aggregation point for all the contacts for your event. This serves two key functions for your event:

  1. Provides access to Event Admins to all the contacts for your event, including registered participants.

  2. Supports building a list for outbound email marketing for the event in support of attendance and participation.

Stay updated with your Event Dashboard

As your event approaches, use your Event Dashboard to keep up-to-date with what's going on.

ClearEvent uses an easy-to-understand system of Green/Yellow/Red, along with the data and settings you have entered in ClearEvent, to indicate on the Event Dashboard which parts of your event are doing well, and which parts need attention.

All parts of the Dashboard allow you to drill down to investigate further or get more information on any item.

When your event is done, "Roll it over"

When your event is done, and you're ready to do it all over again, there's no need to set up your event from scratch!

At the click of a button, ClearEvent lets you easily rollover your event, so that you can run your event again with minimal changes.

When an event is rolled over, ClearEvent will:

  • adjusts all the dates (relative to the new event data) for things like registration forms, tickets, schedules, messages, and more.

  • close your Event Portal and unpublish any registration forms or tickets. This gives you a chance to make any adjustments to your new event before re-opening your Event Portal or republishing any registration forms or tickets.
