Learn how to create and send Invites to help boost event attendance.

Overview

Invites are used to attract people to your event. They prompt potential attendees to register or buy tickets, making the process simple. You can create multiple invites for different groups, allowing you to tailor messages to specific audiences for better engagement.

The Invites section is where you can manage Invites for your event.

Security

To view the Invites section, event managers will need to be added to at least one of the following roles: 

  • Event Owner

  • Event Administrator

  • Communications Manager

Creating new Invites

To create a new Invite:

  1. Open the Event Manager App > Invites section > Invites tab.

  2. Click the +Add button to create a new Invite to display the Edit Invite page for the new Invite.

  3. Provide required details such as Invite Name, Reply-to Email

  4. Fill in the Subject and Invite Message. We recommend following these email tips to avoid triggering any Spam filters in your recipients' inboxes.

  5. Specify a Custom Event Date, and Location if needed.

  6. Set the Call to Action links to include in the invite.

  7. Enable the Calls to Action > Registration Link setting to display a "Register Now" call to action button in the email that will direct the invitee to register for the event.

  8. Enable the Calls to Action > Tickets Link setting to display a "Get Tickets" call to action button in the email that will direct the invitee to the ticket purchase page.

  9. If either the Registration Link or Tickets Link calls to action buttons are enabled, a "No Thanks" button will also be included in the invite that will allow an invitee to decline the invitation.

  10. or Tickets Link option is selected for the Calls To Action setting, a Call To Action button called "No Thanks" will be included in the Invite. Any Invitee clicking this will set their status to "Declined". If the same Invitee clicks on another CTA (a link from the invite) and registers (buys a ticket) with the event, the Invitee will be updated to "Accepted". Once the status is "Accepted" it can't be changed.

Add & Import Invitees

Before you can send an invite, you must add invitees. You can import invitees manually using the Add Invitee button, or learn how to bulk import invitees here.

Preview an Invite

You can preview an invite anytime by using the Preview & Send tab. The logo, background, and accent colors set in the Branding section will be used to set the appearance of the Invite.

Sending an Invite

To send an invite:

  1. Go to the Event Manager App > Invites tab > Preview & Send tab.

  2. Click the "Send to..." button.

  3. An email will then be sent to each of the invitees on the current invite.

⚠️ Free Trial Sending Limitations

During your free trial, you can only send an invite to yourself. To send your invite to all invitees you have added or imported, you must activate your free trial.

To check invite performance stats:

  1. Go to the Event Manager App > Invites tab.

  2. Check the Pending, Sent, Declined, and Status columns.

  3. The Status column will be either Pending, Accepted, Declined, or Rejected.

When an invitee clicks on either the "Register Now" or "Get Tickets" buttons in a received invite, and then completes a registration or ticket order, the Invite status will be updated to "Accepted". Once the status is "Accepted" it can't be changed.

When an invitee clicks the "No Thanks" button in a received invite, the Invite status will be updated to "Declined" and the user will be directed to the following page:
