Schedules: Schedule Group Rules

Learn how to use Schedule Group Rules to limit how many activities from a group attendees can add to their My Schedule page.

Schedule Group Rules let you limit how many activities an attendee can add to their personal My Schedule page from a named group of Schedule Line Items. Use them when attendees should pick only some of the available options, such as one workshop from several that run at the same time.

For example, attendees should be able to choose only one of your three morning breakout sessions.

💡TIP: A Schedule Group Rule applies to every Schedule Line Item that uses the same Schedule Group Rule Name, across all Schedules in your event. Attendees can only add activities to My Schedule when Allow attendee to add this activity to their personal schedule is turned on for the line item. See Event Manager: Allow Attendees to Add Activities to "My Schedules".

How to Set Up a Schedule Group Rule

Setting up a rule takes two parts: create the rule, then assign it to your activities.

Part 1: Create the Rule

  1. Open the Event Manager App > Schedules section > Settings tab.

  2. In the Schedule Group Rules section, click Add Rule. A new rule appears with a placeholder name such as "New Group Rule 1".

  3. Enter the Schedule Group Rule Name (up to 50 characters), for example "10AM Sessions".

  4. Enter the Max Selections Per Attendee (e.g. 1). This is the most activities from this group an attendee can have on their My Schedule page.

Part 2: Assign the Rule to Activities

  1. Open the Event Manager App > Schedules section > Schedules tab and edit the Schedule Line Item you want to include in the group.

  2. In the Advanced tab > turn on Allow attendee to add this activity to their personal schedule. The Schedule Group Rule Name field appears.

  3. Enter or choose the rule name. Names you have already created appear as suggestions as you type. It must match the rule name exactly.

  4. Repeat for every activity that belongs in the group, then save.

What Attendees See

In the Event Portal Web App, attendees add an activity to My Schedule by tapping the heart on the Schedule Details page. Once an attendee has added as many activities from a group as the rule allows, tapping the heart on another activity from that group shows this message instead of adding it:

"This item cannot be added because the maximum number of favorited activities for this group has already been reached."

Attendees can remove an activity at any time. Removing one frees up a spot so they can choose a different activity from the same group.

Good to Know

  • Activities with no Schedule Group Rule Name, or with a name that has no matching rule, have no limit.

  • Each event can have only one rule per name, and names must match exactly, so check spelling and spacing when you assign a rule to an activity.

  • Limits are counted against the activities an attendee has added on the Schedule they are viewing.

  • Schedule Group Rules work alongside the other My Schedule settings. An attendee is still blocked if an activity is Full or overlaps another activity when overlapping favorites are not allowed.

  • To change a limit later, select the rule and edit Max Selections Per Attendee. Attendees who already have more activities than the new limit keep them, but cannot add more from that group.

  • To delete a rule, select it and click the trash icon, then confirm. Activities keep their rule name, but the limit no longer applies.

  • Rules cannot be changed in an archived event.
