Attendee Guide: How to Use Self-Check-In

Learn how to check yourself in for sessions or activities using the Self Check-In device.

Some events use Self Check-In stations to make it quick and easy for attendees to register their attendance when arriving at a session, workshop, or other scheduled activity.

Here’s what to expect and how to use the Self-Check-In feature.

How to Self-Check-In to a Session

Step 1: Approach the Self Check-In Device

When you arrive at your session or activity, you’ll see a Self Check-In page displayed on a tablet or mobile device.
It will show the event name, session title, and the scheduled time.

You’ll see two options on screen:

  • Scan QR Code to check in

  • Enter Confirmation Code to check in

Step 2: Choose How You Want to Check In

You can check in using either method:

Option 1: Scan Your QR Code

  1. Tap Scan QR Code to check in.

  2. The camera view will appear.

  3. Hold your event QR code (from your registration confirmation email or badge) up to the camera until it scans successfully.

Option 2: Enter Your Confirmation Code

  1. Tap Enter Confirmation Code to check in.

  2. A text field will appear.

  3. Type the confirmation code shown in your registration confirmation email, then tap Check In.

Step 3: View the Check-In Result

After you scan or enter your code, the device will display one of the following results:

  • Success: A green screen appears confirming you are checked in.

  • 🔁 Already Checked In: A green screen appears letting you know you’ve already been checked in for this session.

  • Error: A red screen appears if your QR code or confirmation code is invalid, or if check-in is not currently allowed.

After a few seconds, the screen automatically refreshes and returns to the Self Check-In home screen for the next attendee.
You can also tap the screen to bypass the countdown and return immediately.

Important Notes

  • The gear icon (⚙️) at the top right is for event staff only. It requires a PIN to access device settings. Attendees should not tap this icon.

  • If the Self Check-In screen exits full-screen mode or you accidentally navigate away, contact the event staff for assistance.

  • If the device shows a blank screen or camera permissions issue, ask event staff for assistance.

Tips for a Smooth Check-In

  • Have your QR code or Confirmation Code ready before reaching the station.

  • Hold your QR code steady in front of the camera. About 6–8 inches away works best.

  • Ensure there’s enough lighting for the camera to read the QR code.

  • If you see an error screen, try again or ask a nearby event organizer for help.

  • For Event Organizers: You can share this article with your attendees before your event. It helps them understand what to expect and ensures faster, smoother check-ins on site.
