The Job Details page enables you to edit specific details of a Job. Jobs are useful for assigning roles and responsibilities to particular registrant types configured in the ClearEvent platform (for example "Volunteers").

Customization Tip: To better align the Jobs feature with your event's workflow, you can now customize the name of the Jobs section (e.g., "Assignments," "Meetings," or "Roles"). This custom label appears consistently throughout the Event Portal, emails, and navigation elements, enhancing clarity and personalization.

To rename your Jobs section, navigate to Event Setup > Pages tab and update the Page Label for the “My Jobs” page.

Configuring a Job

When creating a new Job, you will be prompted to set the following:

  • Registrant Type: Once this is set for a particular job, this cannot be changed. Each job can include only one type of registrant.

  • Job Name: Provide a clear, descriptive name for the job.

  • Job Starts/Ends: Every job must have clearly defined start and end dates/times to inform participants of their commitments.

  • Target/Capacity: The Target defines the minimum number of registrants you need to get the job done. The Capacity defines the maximum number of participants that you can assign. Note that Capacity must not exceed the Target.

  • Assignments: Assign registrants to the job via the Assignments tab. A job can have one or more registrants assigned.

  • Tasks: Add specific tasks associated with the Job using the Tasks tab.

Tips for Assigning Start/End Times for Jobs

When scheduling your jobs, consider carefully how you will manage and assign participants. For example, if your event is over three days and requires Entry Gate Security, you could:

  • Create one comprehensive job called "Gate Security" covering the entire event period. However, assigning participants to this job for the whole duration might be impractical or unrealistic.

  • Alternatively, break it down into specific shifts like 'Gate Security - Friday', 'Gate Security - Saturday', and 'Gate Security - Sunday', each with clear start and end times. Assign participants to these individual shifts, making it easier to track coverage and identify gaps. Participants can be assigned to multiple shifts if required.

Additionally, align your registration form availability periods with the time line you set for your jobs and shifts. This will simplify resource management, ensuring you assign the most appropriate participants to each role or shift.
