If you build it, will registrants come? Learn how to build, publish & promote registration forms to encourage event sign-ups.

Let's assume that you have your registration forms created and published and you're ready to go! 

Next, you'll need to direct people towards your registration forms to sign up for your event. 

This article explains the various approaches you can use to promote your forms so that registrants can find your forms and register for your event. Simply creating and publishing a registration form in isolation alone won't be enough to encourage registrants to sign up. 

You'll need to tell people how to register and where they can find your form.

Sharing Public Forms

By default, forms you create and publish in ClearEvent will be available to anyone and will be listed on the Event Portal under the Register page once the form is published. You may wish to also communicate with registrants to tell them where they can find these forms. 

When sending registration instructions to potential registrants, you'll want to include a link to your registration form(s). 

There are various ways you can share a public registration form.

Each registration form has its own unique Share Link that registrants can use to directly access the registration form. The Share Link should be used when you want to send registrants directly to your registration form. 

To obtain the Share Link:

  1. Open the Event Manager App > Registration section > Forms tab, and Edit a registration form.

  2. Select the Publish tab.

  3. Copy the link from the Share Link field. You can then paste the Share Link into emails, tweets, Facebook posts, or your official event website (if you have one).

OPTION 2: Use the provided Share Code

Each form has its own unique Share Code that you can use to embed a link to the registration form on a website. 

Typically, you would copy & paste the Share Code into one or more pages on your official event website. When registrants visit your website and click on the link, they'll be taken to the registration form. 

To obtain the Share Code:

  1. Open the Event Manager App > Registration section > Forms tab, and Edit a registration form.

  2. Select the Publish tab.

  3. Copy the code from the Share Code field. You can then paste the Share Code into any web page).

You might have published many registration forms for your event (e.g. a Vendor form, Volunteer form, Competitor form, or Sponsor form). In this case, you may wish for potential registrants to go the Register page on your Event Portal. 

The Register page lists all published registration forms that are open and accepting registrations. From here, registrants can choose the appropriate registration form and then register for your event:

You can obtain the Register page link by following these steps:

  1. Open the Event Manager App > Event Setup section > General tab.

  2. If the Event Portal is not open. Click the Open Event Portal button.

  3. Copy the Event Portal Share Link field and append "/register". For example:

    "https://app.clearevent.com/event/1234567890123-1234-1234-123456789012/register"

Sharing Private Forms

Private forms are excluded from being displayed on the Register page on the Event Portal. To learn more about creating private forms click here.

By default, private forms prevent the ability for a registrant to promote that they registered for your event by disabling the social sharing buttons presented at the end of the registration process.

To share a private form, you must send the Share Link to the registrants you want to sign up.

To obtain the Share Link:

  1. Open the Event Manager  App > Registration section > Forms tab, and Edit the private registration form you wish to share.

  2. Select the Publish tab.

  3. Copy the Share Link field. 

  4. Send the private Share Link to only registrants you wish to register.

Shortening the Share Link

If you would like to share a shorter URL, we suggest that you use a free URL shortening service like https://bitly.com, https://tinyurl.com, or https://rebrandly.com.

Many of these services support vanity URLs that can provide complete control over the link appearance and can give you an opportunity to create more memorable URLs. For example: https://myconf.events/sponsor

To shorten a Share Link:

  1. Open the Event Manager  App > Registration section > Forms tab, and Edit the registration form you wish to share.

  2. Select the Publish tab.

  3. Copy the Share Link field. 

  4. Using your favorite URL shortening service (see above), paste your form's Share Link URL into the URL shortening service when prompted. These services will generate a short URL that can then be shared instead of the original Share Link.

  5. Copy the shortened link and share this link instead of the Share Link.

Please refer to the URL shortening service's documentation for details on monitoring and reporting on shortened URL tracking.

Please note that using a shortened Share Link will not keep that URL after it is clicked and user is redirected.
