Learn how to manage organizations and assign event licenses.

To help organize your events and manage multi-license subscription plans, ClearEvent supports the concept of Organizations.

You can think of an Organization like a bucket that holds one or more events. Every event that is created in ClearEvent must belong to an Organization and must be assigned a valid license from your subscription plan.

If you run events for more than one company, association, or non-profit, then Organizations are a great way to keep your events isolated from each other.

You can view the organizations to which you belong by going to the My Events List or Event Manager App and then clicking the dropdown menu (top-right) and then the Manage Organizations menu item.

Assigning Events to Organizations

When you create a new event, ClearEvent will ask you to choose which Organization the event should be created in.

If this is your first event, a new organization will be created using the organization name you provide.

If you belong to multiple organizations and are adding another new event, you can choose which Organization the event should be created in.

Organization Administrators

An Organization Administrator (or Org Admin) has extra privileges that allow them to manage and assign event licenses that are associated with an Organization.

Org Admins differ from Event Owners/Admins in that Org Admins can only manage Organization details and assigned licenses. Event Owners/Admins can manage specific event details. An Org Admin can also be an Event Owner/Admin if they have been granted those roles. An Org Admin that creates a new event directly from an unassigned event license will automatically be assigned to the Event Owner role.

Org Admins can:

  1. Create new events directly using any unassigned event license.

  2. Send any unassigned event license to a desired Event Owner that can then be used to create a new event.

Adding Organization Administrators

To add a new Organization Administrator:

  1. Go to the My Events List or Event Manager App.

  2. From the dropdown menu (top-right) go to Manage Organizations > Organization Details page > General tab

  3. Click the Add+ button for the Org Admins list and enter the email address of the organization manager that you wish to add.

ClearEvent will then send an email invite to the email address provided. The invitee only needs to accept the email invite.

Renaming your Organization

An organization can be renamed at any time by following these steps:

  1. Go to the My Events List or Event Manager App.

  2. From the dropdown menu (top-right) go to Manage Organizations > Organization Details page > General tab

  3. Click the Organization field to edit the field and make your changes.

  4. Click the blue check mark to accept your changes.
