A Registration Fee can support more than one Payment Mode: Online, Offline (Manual), and On-Site (Manual). Registrants choose their Payment Mode at the end of the registration checkout, and you can customize the Payment Mode Label and Payment Instructions shown for each option.
This simplifies your fee setup by allowing you to combine previously separate Online and Offline fees into a single fee. It is especially useful for booth fees, where you want to offer registrants more than one way to pay without defining the same booths twice.
Enable Payment Modes on a Fee
Go to the Event Manager App > Registration section > Forms tab, then edit a form.
Select the Fees tab, then click +Add to add a fee, or edit an existing fee.
On the Payment tab, under Payment Modes, check each mode you want to offer: Online, Offline (Manual), and/or On-Site (Manual). At least one mode must be checked.
A settings tab appears for each checked mode (Online Settings, Offline (Manual) Settings, On-Site (Manual) Settings). Open each tab and fill in the Payment Mode Label (manual modes only) and Payment Instructions for that mode.
Click OK, then Save the form.
Payment Mode Label
The Payment Mode Label is the name registrants see for a manual payment option at checkout. Use it to say what the mode means for your event, for example "Pay by Check", "Pay by E-Transfer", or "Pay at the Door". If you leave it blank, registrants see "Pay Offline" or "Pay On-site". The Online option is always shown as "Pay Online".
Payment Instructions
Each Payment Mode has its own Payment Instructions. They are shown at checkout and in the registration confirmation email only when the registrant chooses that mode. For manual modes, include the payment types you accept, payment terms, due dates, and where to send payment.
For example: "Please make checks payable to 'Acme Event Co.' and mail by Jan 31 to 123 Main St."
What Registrants See at Checkout
When a fee has more than one Payment Mode, a Choose a payment method section appears at the payment step with one option per enabled mode. Pay Online is preselected when online payments are available.
Choosing Pay Online shows the credit card fields. Choosing a manual option shows that mode's Payment Instructions instead. The same submit button completes the registration either way.
When a fee has only one Payment Mode, no choice is shown. The registrant sees the card fields (Online) or the Payment Instructions (manual) as before.
The ClearEvent Service Charge is added to the order summary only while Pay Online is selected. Manual payments are not subject to Service Charges.
If your event's Payment Gateway is not set up, the Pay Online option is shown but cannot be selected. Registrants see it marked "Unavailable"; when you preview or test the form it is marked "Payments not setup" so you know to connect your Stripe account in the Payments section.
If nothing is owed (a free fee with no paid products), no payment choice is shown and the registration is recorded with the Offline Payment Mode.
đNOTES:
The Payment Mode a registrant chooses is recorded on their registration and shown in the Registrants tab, registration exports, and the registration details Payment tab. For manual payments, check Payment Received when the payment arrives. See Manual Payments (Offline or On-site).
When a fee offers a manual Payment Mode, we recommend setting the form's Approval Mode to "Manual" so you approve registrations only after payment is received.
Your event Budget has one Smart Budget Line Item per fee (and per early or late price), regardless of how many Payment Modes the fee offers. Line item names no longer include the Payment Mode.
đĄTIPS:
Review your existing Registration Fees for duplicates that differ only by Payment Mode. Where appropriate, keep one fee, enable the Payment Modes you want to offer on it, and update the label and instructions for each mode so registrants clearly understand their payment options.
If the duplicate fee already has registrations, hide it (uncheck Visible on the Advanced tab) instead of deleting it. Existing registrations and budget totals are not affected.
To charge a different price for a manual payment, or to offer a manual option only to selected registrants, keep a separate fee and use a Special Access Fee.
