Payments: Manually Processing A Payment With Stripe

Learn how you can manually process a payment (exceptional cases only) directly from your Stripe Dashboard.

As an event organizer, there may be times when you'll need to process manual credit card payments from your customer outside of ClearEvent's built-in payment processing features.

Disclaimer

You can manually create payments through the Stripe Dashboard, though it must only be performed when there are exceptional circumstances preventing you from using ClearEvent's built-in payment processing features. Using Stripe to process manual payments cannot be your primary method of processing payments on your account. Stripe may choose to suspend your account if they determine you do this too many times.

When you manually enter card information into the Stripe Dashboard, Stripe isn’t able to verify that you’re keeping this information secure—so you’re responsible for ensuring that you protect your customer’s card information in accordance with the PCI compliance requirements. ClearEvent also is unaware of the transaction and can't help you track it in your budget. You'll need to manually update your event budget to reflect these manual transactions.

IMPORTANT: Never ask a customer to email their credit card details. Email is not secure and you may expose your customer's credit card to theft.

ClearEvent highly recommends that you always use ClearEvent to process payments and remain PCI compliant. ClearEvent will always collect credit card details securely and will always keep your budget up to date.

Manually Processing a Payment

  1. If you wish to charge a card on file for an existing registrant or ticket buyer, you will need to find the Stripe Customer Id before continuing. If you wish to charge a new customer, you can skip this step.

    1. To find a Stripe Customer Id for a registrant, go to the Event Manager App > Registration section > Registrants tab > Edit a registrant > Payments tab > Payment History area and copy the Stripe Customer Id (e.g. "cus_???"). You can use this to find the Stripe Customer directly from the Stripe Dashboard.

    2. To find the Stripe Customer for a ticket order, go to the Event Manager App > Tickets section > Ticket Orders tab > Edit a ticket order > History tab and copy the Stripe Reference (e.g. "ch_???"). You can use this to look up the related Customer from the Stripe Dashboard.

  2. To create a payment and charge a credit card, go to your Stripe Dashboard

  3. Optional. For a test payment, be sure to enable the Test mode toggle button. 

  4. Click Payments > Manual Payment.

  5. Click the + Create Payment button.

  6. Choose "One-time" payment

  7. Fill out the Amount and select the correct currency of your event. 

  8. A manual payment must be associated with a Stripe Customer. ClearEvent creates a new customer each time a registration or ticket order is received. If you wish to charge an existing customer, you'll need to know the Customer Id and will need to look up the exact customer you wish to charge or create a new one. You can look up a customer using their email address or an existing Stripe Customer Id. To find the Stripe Customer Id in ClearEvent choose one of the following options:

    1. To find a Stripe Customer Id for a registrant, go to the Event Manager App > Registration section > Registrants tab > Edit a registrant > Payments tab > Payment History area and copy the Stripe Customer Id (e.g. "cus_???"). You can use this to find the Stripe Customer directly from the Stripe Dashboard.

    2. To find the Stripe Customer for a ticket order, go to the Event Manager App > Tickets section > Ticket Orders tab > Edit a ticket order > History tab and copy the Stripe Reference (e.g. "ch_???"). You can use this to look up the related Customer from the Stripe Dashboard.

  9. Enter a clear Description of the payment.

  10. Set the Payment Method to "Use a customer's on-file payment method" if the customer exists and has payment details on file.

  11. Click the Submit payment button to attempt to charge the customer.

  12. Optionally, update your Budget section > Budget tab to keep track of the manual payment.

Please note that manual payments done through your dashboard will not be visible in ClearEvent as the platform is not aware of any manual payments done in Stripe. You will only be able to see these transactions from within your Stripe Dashboard.
